Customer Service. How to see a new message from a returning customer

Hello,

I have an issue with messages sent through the "contact form" from my shop. If a returning client sends me a new message, his message is not visible on top of all the other messages received from all my customers (in Backoffice/Customer Service). It is placed after the messages he has previously sent me. So i'm not aware that a new mail from him arrived and I might not answer him. This is especially annoying, if the client sends me a new message long after his previous mail. His new mail is then several pages behind in my "Customer Service". Is there a setup i missed ?
How do you manage this issue ?
